This is how to operationalize intent so most high-intent signals get a real, timely follow-up — with clear ownership and repeatable workflows your team can trust.
Define What "Acted On" Means
Different intent levels deserve different moves. The buckets:
- Anonymous website visitor intent on high-intent pages
- Known-contact behavior (returning to pricing or docs)
- Account-level signals (multiple contacts spiking)
- Third-party intent on review sites or content hubs
"Acted on" should mean a real motion: targeted sequence, meeting requested or set, opportunity progressed, account added to an ABM ad audience. Opening an alert email and doing nothing isn't action. Build an "intent funnel": of 100 high-intent accounts, how many are reviewed, contacted, become meetings, become opportunities? One mid-market SaaS team pushed 48-hour coverage from 30% to 75% in a quarter and doubled meetings per 100 intent accounts.
SLAs That Match Real Sales Behavior
Start with human limits — most reps handle 30–50 focused touches a day. Then map SLAs to intent tiers:
- Tier 1 buying now (pricing, demo, comparison, multiple short-window visits): response in hours, multithread 2–3 contacts
- Tier 2 researching (solution pages, case studies, feature docs): 1–2 day response with lighter playbook
- Tier 3 latent: nurture, ads, monitoring; manual follow-up optional
A PLG company set a 4-hour SLA for Tier 1 on accounts over $20K ARR. After three months at 70% compliance, closed-won on those accounts rose from 18% to 27%.
Clean CRM Fields
A minimal account-level structure:
- Intent_Tier: high, medium, low
- Intent_Score: simple numeric or banded
- Last_Intent_Date
- Last_Intent_Topic
- Intent_Source: first-party, third-party, partner
Picklists, not free text. If a field isn't tied to a rule, report, or playbook, drop it. One 40-person sales team cut 18 fields down to 6 and saw intent-sourced pipeline rise 30% in two quarters.
Routing and Alerts Reps Won't Ignore
Routing assigns work; alerting gets attention. Owned CRM queues ("My High-Intent Accounts") refreshed nightly beat scattered email blasts. Match alert urgency to tier: high-intent → real-time Slack/Teams with account, pages, contacts, suggested next step; medium → daily digest; low → dashboard presence only. One enterprise team moved Tier 1 to owned CRM queues plus a single Slack channel and pushed SLA coverage from 45% to 82%.
Enable Reps With Playbooks, Not Just Scores
Scores are signals, not instructions. Build 5–10 "if this, then that" plays:
- Pricing + demo page visits
- Competitor comparison visits
- Implementation docs + security pages
- Multiple contacts from one account on solution pages
- Existing customers on upgrade pages
For each pattern: a short opener, a 3–5 touch cadence with channel mix, value props tied to viewed content, and a few stage-appropriate discovery questions. A cybersecurity vendor built three plays — "Pricing Now," "Competitive Research," "Expansion." "Pricing Now" converted 22% of high-intent accounts to meetings vs 9% for their old generic outbound.
Measure Follow-Through and Iterate
- Coverage: percent of high-intent signals touched inside SLA
- Latency: median hours signal-to-touch
- Yield: meetings and pipeline per 100 high-intent accounts
Let reps flag alerts as "good fit," "too early," or "junk" — and let RevOps tune thresholds and weights from those flags. One team tightened the "high-intent" definition, cut alert volume 40%, and lifted meetings per 100 alerts from 8 to 14.

Map your current process against these pieces, fix one gap (usually SLAs or routing) first, and measure coverage and yield for 30 days. See our website visitor intent detection, or book a demo.
