CRM Data Integration Only Works If Identity Comes First.

Connectors go live, data starts moving, and the numbers still don't make sense. In most cases the tools are fine — the missing piece is identity discipline underneath.

Identity discipline is a consistent way to assign, keep, and govern IDs for people and accounts across every system. If you can't confidently say "this is the same person" across web, ads, email, and CRM, no integration stack gives you reliable revenue insight.

Where Integration Hits a Wall

Most stacks: CRM for accounts/contacts/deals, MAP for nurture, a CDP or warehouse to centralize, ad platforms and tracking on top. Teams wire APIs and ETLs, fields sync on a schedule — data moves so it feels like progress. The deeper problem is data truth.

Three pillars:

  • A single, non-PII master ID for each person and each account
  • Written match rules that decide when to merge and when to keep separate
  • Scheduled dedupe, merge, and aging jobs

Matching ladder: deterministic (same email, phone, customer number) → deterministic with context (email domain + region/segment/account) → probabilistic with guardrails (IP/device/behavior reaching a 0.8+ score). One mid-market SaaS started at 22% contact duplicates in NA; after a master person ID, merge rules for corporate vs personal emails, and weekly dedupe jobs, duplicates fell below 8% and form-to-opportunity rose 12%.

Turn Integration Into a Revenue Engine

  1. Define identity rules for people and accounts
  2. Assign or import master IDs into CRM and core tools
  3. Configure every sync to use those IDs as primary keys
  4. Test on a limited segment, fix edges, then scale

One consumer brand anchored CRM, ads, and email on a shared customer ID. Site-visitor match rose from ~35% to just over 55%; retargeting cost per order dropped ~18%; duplicate email sends fell by almost a third.

Audit Your Identity Readiness

  • Pull a CRM sample and measure duplicate/near-duplicate rate by segment
  • Check how many anonymous sessions match back to contacts or accounts
  • Review "new" leads from the last 60–90 days — how many are existing people with different emails/devices?
  • Document which ID fields each integration uses as keys and which system is source of truth

Score yourself 0–10. 0–3: basic dedupe and consistent IDs in core systems first. 4–7: tighten rules, document ownership, add governance. 8–10: focus on activation and measurement.
